West Highland Housing Association is a charitable organisation working in the Oban, Lorn and the Isles area. We have a growing number of properties in management and now have an opportunity for someone to join our friendly and enthusiastic team.
The post holder will support the delivery of asset management and repairs services by undertaking property inspections, coordinating works, and providing administrative support in line with established procedures.
Responsibilities include assisting with the void process, carrying out inspections and helping ensure properties are returned to a safe, lettable standard within target timescales. The role will also provide support to the Repairs Service, contributing to the delivery of responsive and planned maintenance.
In addition, the post holder will assist with wider asset management activities such as stock condition surveys, post-inspections, and inspections relating to damp, mould and condensation.
KEY RESPONSIBILITIES
Void Inspection & Repair Management
- Assist in the day‑to‑day management of void properties, ensuring processes are followed in line with agreed standards.
- Liaise with Housing Management and Repairs teams to support coordination of void inspections and works.
- Carry out void inspections using established templates and guidance.
- Identify required repairs and raise works orders in accordance with procedures.
- Monitor progress of void works and liaise with contractors regarding access and updates.
- Undertake post‑void inspections to confirm completion of works.
- Update housing and asset systems and notify relevant teams when properties are ready for let
- Refer non-routine issues, delays, or concerns to senior staff.
Repairs Support
- Support the delivery of responsive, void, and planned repairs by assisting with inspection, coordination, and monitoring of works.
- Raise repair orders in line with approved procedures and agreed priorities.
- Liaise with contractors to agree access, monitor progress, and resolve routine issues.
- Assist with repairs post inspections to confirm works have been completed as instructed.
- Maintain accurate records within housing management and asset systems.
- Escalate technical issues, variations, delays, or health and safety concerns to senior staff promptly.
Stock Condition Surveys
- Carry out basic stock condition surveys in line with guidance and training
- Assist in updating and validating asset data to ensure accuracy of records
Damp, Mould & Condensation Inspections
- Carry out initial inspections in line with policy and guidance.
- Record findings accurately and arrange follow‑on actions where appropriate.
- Refer complex or repeat cases to senior colleagues.
Asset Data & Administration
- Maintain accurate asset, inspection, and repair records.
- Provide administrative support to the Asset Management function.
Communication & Tenant Liaison
- Communicate with tenants and provide updates on inspections and repairs.
- Manage routine enquiries through to resolution.
- Work collaboratively with colleagues and contractors, escalating complex issues where needed.
General
- Liaise and work as part of Link Group, ensuring that common approaches are embraced specifically to benefit tenants and value for money across the group.
